Policy

Response Times
There are four categories of repairs:[1]
1. Emergency repairs: Will be dealt with within 24 hours.
These include:
- Any damage to a property that affects the health or security of the occupants (e.g. dangerous electrical fittings, blocked drains etc.).
- Any repairs resulting from a burglary which affect the security of the occupants.
- Any damage arising from incidents of harassment (racial, sexual or other).
- Any part of the external structure which is a danger to the public.
2. Essential repairs: Will be dealt with within 5 working days.
These include:
- Problems that cause serious inconvenience and/or damage, such as leaking pipes, damaged guttering etc.
3. Priority one repairs: Will be dealt with within 15 working days.
4. Priority two repairs: will be dealt with within 30 working days.
Painting equipment
Following items to be kept in the maintenance cupboard:[2]
- Brushes
- Rollers and trays
- Polyfilla
- Sandpaper
- Sugar soap
- Sponges
- White spirit
- Masking tape and metal masking tape
- Any other items considered appropriate by the Maintenance Co-ordinator
When a member uses painting equipment, they must sign for it in the maintenance cupboard record book. All equipment must be cleaned before it is returned.
Regular testing
- Fire alarms
All the shared occupancy flats once every six months alternates between checking all rooms, and common areas.
Next due 3rd and 4th May 2007 Checking rooms
- Electric survey
Due once every ten years, last done April 2007
- Showers
Due once a year… last done… next due…
- Gas appliances (cookers & boilers)
Due once a year… last done… next due…
- Extinguishers
Due once a year… last done… next due…
- PAT testing of coop owned electricals
Not been done recently (ie within 5 years) – working group should consider what this means
Maintenance to do list (last updated 05/04/07)
Fire safety
- we need an “officer” who would preferably have been on a fire safety course
- we need to discover if the flats are to be checked in next months alarm check (3rd and 4th May)
- DONE no, they don’t have fire alarms, only smoke detectors
- we could have a fire safety day for the flats checking a) they have smoke alarms and b) that they work
Void inspection check list
- send someone on a course and then they can draw up a “void inspection check list”
Keys
- retrieve old set of keys and make a copy
- also we need to recover master keys from tenants that have “borrowed” them to replace lost keys
Contractor list (look at and improve)
Carpets, paints and other policies need scrutiny: eg Asbestos management policy (we require one)
Information to go out to tenants
- Useful numbers and 'what to do in case of emergency' card for every house
- List of how to fix/which co-op member to contact for minor repais
- What you are entitled to list (there some of this on the wiki)
- “What’s wrong in your house” questionnaire
Think about skylights (working group)
Ask Mark about futons, appliances and things (don't know why)
Think about Pat testing (working group) what it means, what we need to do about it
Planned and cyclical maintenance – create a properly and clearly organised system
Possible useful courses for maintenance group
Inspection (for void inspection) one day course?
Maintenance CRC one day a week for ten weeks covers all aspects – CRC are sending Jim a course prospectus, next course start 16th and 18th April (Mon and Weds) - DONE Jim, Ali and Ian are now on the course.
Member refresher in electrics to get certification. Possibly not as wise as first appeared.
Fire safety – send new fire safety officer on a fire safety course
